Job Description

Position Title: Bursar & Employee Services Coordinator

Department: Business Office
Reports to: CFO
FLSA Status: Exempt
Position Type: Full-Time

Position Summary:

The Bursar & Employee Services Coordinator is a dual-role position responsible for managing student account receivables while supporting core employee service functions, onboarding, and personnel records. This individual ensures accuracy and professionalism in both financial and personnel processes while offering responsive, mission-minded service to students, employees, and campus stakeholders. The Coordinator plays a key role in maintaining institutional compliance, operational efficiency, and a culture of care.

Essential Responsibilities:

Bursar (Student Accounts):

  • Oversee billing, collection, and reconciliation of all student accounts, including tuition, fees, housing, and other institutional charges.
  • Manage payment plans and coordinate collection processes with students and families, ensuring clear and consistent communication.
  • Collaborate with Financial Aid, Registrar, and Admissions to align student account data with enrollment and aid disbursements.
  • Prepare monthly reconciliations and year-end reports; assist with internal and external audits.
  • Ensure compliance with FERPA and other regulatory standards in all student financial communications and recordkeeping.

Employee Services:

  • Maintain up-to-date employee files, including tax forms, contracts, benefits documentation, and compliance records.
  • Support the onboarding and offboarding of employees, including background checks, benefits enrollment, and required documentation.
  • Serve as a point of contact for employee questions related to pay, benefits, time off, and other services.
  • Assist with compliance reporting (ACA, W-2s, EEO, etc.) and the annual benefits open enrollment process.
  • Coordinate updates to job descriptions, personnel records, and policy acknowledgments in collaboration with supervisors and department heads.
  • Develop and track staff training through the College’s training software.

Qualifications:

  • Bachelor’s degree in Accounting, Human Resources, Business Administration, or a related field preferred.
  • 2+ years of experience in student accounts, payroll, or employee services roles.
  • Knowledge of FERPA, FLSA, and HR recordkeeping best practices.
  • Strong communication, organization, and customer service skills.
  • Demonstrated ability to manage confidential information with integrity.
