WAGES AND BENEFITS

Schedule

This position works remotely. While there may be times where night or weekend work is needed, we try to keep this at a minimum, and we have flexible scheduling.

A Typical Day in the Life…

A typical day as MACC's Grant Billing Specialist includes providing invoicing, grant/contract tracking, collections, and audit support for the member agencies assigned to them. This position takes work direction from the Accounting Manager as well as the Controllers and VP of Finance. Responsibilities will include the following:

Invoicing

  • Furnishing and submitting invoicing to funders on behalf of members on a timely basis as dictated by the grant/contract or the member.
  • Scheduling and leading meetings with member contacts to review invoices before billing funders.
  • Creating and maintaining workbooks of costs for each grant/contract.
  • Recording accurate, complete, and timely sales in conjunction with the monthly close deadlines.
  • Maintaining a folder of the contracts and any applicable information, such as the original contract, any amendments, workbooks, general ledgers, etc.
  • Making corrections to the general ledger and invoices as necessary to adjust for additional allowed/disallowed amounts paid/rejected by the funder.
  • Reviewing the accounts receivable aging for assigned contracts and following up with funder on any payments not received.

Audit

  • Preparing work papers as requested by Controllers for annual financial audit.
  • Compiling and preparing work papers for funder desk audits.

Who You Are

  • You hold a bachelor's degree in business or accounting, are pursing oneor have equivalent work experience.
  • It is preferable that you have two years of experience with the accounting software, Business Central.
  • Experience with grant/contract billing is preferred.
  • You demonstrate excellent quantitative and analytical skills.
  • You possess strong Microsoft Excel skills and familiarity with other Microsoft office products.
  • You have strong critical thinking skills.
  • You have the ability to analyze and reconcile financial information.
  • You have the ability to manage multiple tasks and deadlines, with interruptions, simultaneously and accurately.
  • You demonstrate effective oral and written communication skills.
  • You have the ability to work independently, use good judgment, and self-check work.
  • You have the ability to work respectfully and communicate effectively with different cultures, groups, and languages.
  • You have the ability to work additional hours, including weekends, as necessary.
  • You have a valid driver's license, access to reliable transportation, and the ability to meet MACC's driving record requirements. Please note that if the license was not issued in the state of Minnesota, you have 60 days after becoming a Minnesota resident in which to apply for your Minnesota driver's license or permit (not applicable for new hires living out of state).
