About You

As a Document Processing Specialist, you will bring deep commitment to customer service and high focus on accuracy and reliability to be part of a high-performing team. In addition, you'll be highly valued for your abilities to work in a collaborative setting, adapt to change and manage ambiguity, and stay organized while working in a fast-paced environment.

A Typical Day

  • Be able to research questionable documents, use multiple systems to gather correct information, and make educated decisions for placement of incoming correspondence.
  • Process and index images, faxes and priority documents into the appropriate workflow.
  • Answer questions from both internal and external customers and help on navigating the various systems from which we operate.

How You'll Make an Impact

  • Use knowledge of jobs within the department to make sound judgement calls on documents and issues that fall outside the normal scope of work.
  • Receive, open and pre-sort all mail for Risk Management Services.
  • Examine and identify all incoming documents and sort into pre-scan batches by category type.
  • Manually prepare all documents for electronic scanning. Using the imaging software program and optical scanner, load and feed documents through the scanner.
  • Recognize a wide range of documents including state regulatory forms, which are typically determined by the Texas Department of Insurance Division of Workers' Compensation.
  • Verify the visual integrity of the documents after they have been scanned into the imaging system.
  • Maintain the physical condition of the optical scanning equipment and replace worn or damaged parts.
  • Enter all certified and signature confirmation mail into the database.
  • Maintain all audio, video media and physical files. This includes offsite file storage of boxes and microfilm look-up/retrieval as required.
  • Test various system changes and enhancements.
  • Provides responsible, accurate and professional service to all internal and external customers.
  • Perform data entry as needed.
  • Participates in special projects and performs other duties as assigned by the Claims Support Services Manager or Division Director.

Skills for Success

Education and Experience:

  • High School diploma or GED
  • General Office Experience
  • Experience with Paper Vision Capture and OnBase considered a plus.
  • Knowledge of workers' compensation claims considered a plus.

Knowledge, Skills and Abilities:

  • Possesses high standards for service delivery.
  • Ability to work in multiple, complex software systems and the internet
  • Effective interpersonal and communication skills
  • Organizational skills, ability to work independently and in cross-functional teams
  • Ability to multi-task in fast-paced production environment
  • Data entry at 7000 keystrokes per hour.
  • Working knowledge and recognition of claims documents is considered a plus.
  • Ability to work in our North Austin headquarters 3 times a week.
